How the pricing scales

Per-seat pricing quietly punishes you for including everyone, and the people most worth including — new hires, part-timers, the quiet ones — are the first to get cut from the licence count. Ask what the bill looks like at double your headcount, and whether every employee can be in the tool without a conversation about cost.

What is a module and what is included

“Full platform” pricing often means the reviews are included and engagement, learning and HR are three separate line items. Get the quote for everything you actually intend to use, not the entry tier.

Time to first real use

Enterprise tools frequently require an implementation partner and a quarter of configuration before anyone writes a review. If you are under a few hundred people, ask specifically whether you can run a cycle yourself in the first week.

Whether managers will use it

Adoption dies in the manager layer. Look at what a manager sees on a Monday morning, not at the admin dashboard the demo is built around — a tool used once a year is an expensive filing cabinet.

Getting your data back out

Review history is some of the most sensitive data you hold and the hardest to recreate. Confirm there is an export you can run yourself, and that leaving does not require a support ticket.

Who answers when it breaks

Ask what happens at 9am on the day a review cycle opens and something is wrong. Response times matter far more than feature checklists once you are live.
